Configuring and Using Lead Days

Lead days determine the amount of notice a requester must provide for a trip request. If requesting outside of these lead days, administrators can prevent trip requests from being submitted. Administrators determine the number of lead days required and the type of trip they apply to.

There are two types of lead days: In-state and Overnight/Out-of-state.  Overnight/Out-of-State applies to any trips that leave the state or are scheduled overnight. Note that your system may be set for the Overnight/Out-of-State indicator to have a different label (such as out of county).

If "Prevent Submission" is selected, the field trip requester will be unable to schedule the trip and will receive a message requesting sufficient advance notice. If Warning Only is selected, the trip will be scheduled, but the requester will receive a warning message.  

Configuring Lead Days

To set Lead Days for trips, click the half-person icon in the top right corner of your screen. Click on “Settings.”

In the setting dropdown menu, select Trip Request Form then Dates & Times.

Expand the Lead Days box to start configuring your lead days.
 

Prevent Submission Message

The Prevent Submission Message is what requestors see when their trip request falls inside the lead days, and they cannot submit a request.
 

 

Warning Message

If your district does not prevent submission within the lead time, you can still provide requestors with a warning message informing them that their request falls within that lead time.
 

General Trip Requests

Warning Only means requestors will only receive a warning message if their request does not meet your lead time requirements, but they can still submit the request.
Prevent Submission means requestors cannot complete their trip request if it does not meet your lead time requirements.
Lead Days determines how many days in advance your requesters must submit their trip request.
 
 
Trip Types: You determine which trip types have lead day requirements. Any Trip Type that is not selected will not have a Lead Day requirement, and the requestor will not receive a message if requesting inside the lead time for your district.
 
Trip Events: If you want to exclude certain trip types from lead day requirements within a specific trip type, you can uncheck those events here. If a Trip Event is unchecked, the requestor will not receive a message if requesting inside the lead time for your district.

Overnight or Out of State Requests

Warning Only means requestors will only receive a warning message if their request does not meet your lead time requirements, but they can still submit the request.
 
Prevent Submission means requestors cannot complete their trip request if it does not meet your lead time requirements.
 
Lead Days determines how many days in advance your requesters must submit their trip request.
 
 
Trip Types: You determine which trip types have lead day requirements. Any Trip Type that is not selected will not have a Lead Day requirement, and the requestor will not receive a message if requesting inside the lead time for your district.

Once lead day settings are complete for General Trips and Overnight/Out-of-State Requests, click “Save” to keep your changes.

 

Example of Trip Request Message if Prevent Submission is selected:

The requestor cannot continue with the form.

Example of Trip Request Message if Warning Only is selected:

The requestor can continue with the form.
